About Civ Robotics

Civ Robotics is on a mission to automate repetitive tasks within the $3 trillion infrastructure construction industry. We bridge the workforce gap by deploying robotics and autonomous navigation systems that are already transforming how infrastructure is built. Our flagship product, CivDot™, automates layout for large-scale construction projects—improving speed, precision, and reducing dependency on skilled labor.
With over 120 robots deployed globally, we support leading names in the solar, energy, and construction sectors such as Bechtel, Primoris, and Keeley Construction. Our technology plays a vital role in advancing green energy, particularly through the build-out of solar farms.
As we continue to grow, we’re looking for an organized and proactive Office Manager to help keep our San Francisco headquarters running smoothly and efficiently.

Position Overview

The Office Manager will support day-to-day office operations, ensuring our team has a well-organized, stocked, and welcoming workspace. You’ll play a key role in maintaining vendor relationships, coordinating services, supporting internal events, and assisting with logistics and demos. This is a part-time, in-office position with room to grow into full-time and expand into other departments such as Marketing, Sales, or Operations as the company scales.

  • Ensure the office remains clean, organized, and well-stocked with snacks, beverages, and supplies
  • Coordinate with service providers (cleaning, IT, utilities, security, etc.)
  • Maintain relationships with vendors and manage accounts payable for office services and supplies
  • Track and reorder kitchen and pantry inventory (drinks, snacks, utensils, etc.)
Team Support & Events
  • Organize and coordinate weekly office lunches and occasional company events
  • Assist in planning and executing customer demos and team meetings
  • Support onboarding by preparing welcome kits and workstations for new hires
Administrative Tasks
  • Process vendor invoices and ensure timely payments
  • Receive and manage packages, mail, and deliveries
  • Help coordinate travel logistics, accommodations, and meeting bookings when needed
  • Maintain internal documentation related to office operations
Customer Support & Demo Assistance
  • Welcome guests, customers, and partners visiting the office
  • Help set up equipment or space for customer visits and product demonstrations

Requirements

  • 1–2 years of experience in an office coordinator or office manager role
  • Highly organized and detail-oriented with excellent time management skills
  • Strong interpersonal and communication abilities
  • Comfortable using tools such as Google Workspace (Docs, Sheets, Calendar), Slack, and Asana (or similar)
  • Resourceful and proactive—able to solve problems quickly and independently
  • Friendly, positive, and helpful attitude
  • Must be available to work on-site in our San Francisco office

Bonus Points

  • Experience supporting small teams or startups
  • Interest in growing into roles in marketing, operations, or customer success
  • Experience coordinating travel or event logistics
  • Familiarity with accounting tools (e.g. QuickBooks) is a plus
