We are looking for an Executive Assistant to our CEO, who is calm, motivated and proactive with the ability to plan ahead and anticipate executive needs, actively maintain and manage projects and go above and beyond to streamline efficiency. Your team-oriented approach, keen attention to detail and outstanding project management skills will ensure your success in this role.
The role can be expanded for someone with historical office management skills. In particular, we are seeking someone experienced with modern productivity tools, tech savvy, and a history of management of 1-2 administrative team members. Ideally would love to find an Executive Assistant with project management capabilities having at least 7 years’ experience supporting executives and multiple internal parties.
This role requires Dallas area residency and includes a hybrid schedule including managing occasional client and team on-sites in the Turtle Creek area in Dallas and working from the CEO's office as needed (1-3 days a week.)

What you'll be doing

  • As the Executive Assistant to our CEO, you'll be the strategic right hand who seamlessly manages complex business and personal logistics, coordinates high-stakes meetings and travel, and ensures our executive leadership operates at peak efficiency.
  • Executive Support & Administration
  • Serve as the primary administrative and personal support partner to the CEO, managing both professional and personal priorities with discretion and efficiency
  • Handle high-priority inquiries and requests with urgency, ensuring timely follow-through and successful completion under tight deadlines
  • Execute routine administrative tasks including email correspondence, shipping coordination, and comprehensive mail management
  • Calendar & Schedule Management
  • Proactively orchestrate the CEO's complex, ever-evolving calendar across multiple time zones and competing priorities
  • Coordinate and organize a diverse range of engagements including board meetings, conference calls, client meetings, industry conferences, and networking events
  • Manage both business and personal appointments, errands, and reservations with meticulous attention to detail
  • Travel Coordination & Logistics
  • Plan and execute comprehensive domestic and international business travel arrangements, including flights, ground transportation, and accommodations
  • Create detailed electronic travel itineraries and ensure seamless travel experiences
  • Handle conference registrations and professional event coordination in advance of deadlines
  • Financial & Expense Management
  • Process and manage CEO expense reports with accuracy and timeliness
  • Coordinate expense submissions with the Accounting team and maintain organized financial records
  • Stakeholder Collaboration
  • Partner closely with executive assistants from client and customer organizations to coordinate joint meetings, travel arrangements, and event logistics
  • Build and maintain professional relationships that facilitate smooth business operations
  • Project Management & Special Assignments
  • Take an active leadership role in special projects and strategic initiatives as assigned
  • Adapt quickly to additional responsibilities and changing business needs while maintaining high standards of execution

What we're looking for:

  • 7+ years as a Career Executive Assistant and/or Personal Assistant to C-level executive
  • Must have extensive experience with calendar management and call coordination
  • Experience with balancing both business and personal assistant responsibilities
  • Experience in arranging business and personal travel and preparing travel itineraries
  • Tech Savvy is a must - should be comfortable using tools like Slack, Google Calendar, Gmail, Zoom, travel booking sites, and must be comfortable learning new software such as Notion, Navan, and other tools used used across the organization.
  • Demonstrates a positive, eager, can-do attitude that is matched with delivering desired results
  • Excellent problem-solving capabilities with timely resolution demonstrating an awareness of knowing when to elevate concerns or issues
  • General knowledge of the Dallas Metroplex area including restaurants, hotels, shopping areas, and event spaces, with an ability to build relationships and CEO preferences.
  • Must take pride in work, with keen sense of quality control and attention to detail
  • Ability to independently and proactively assist when needed
  • Good written and research skills
  • Experience maintaining confidentiality
